Cleartech International Limited / Cleartech / CTI take protection of our clients and candidate’s data and privacy very seriously and have gone to great lengths to ensure we are fully compliant with GDPR legislation.

We provide recruitment consultancy services for contract, permanent and temporary placements.

Where do we collect data from?

  • Via our website at cleartechuk.com; or any other website operated by us
  • Applications made by individuals to job adverts posted by us on a job board or via social media
  • From candidates profiles / CVs uploaded onto a job board/online CV library or social media site where we matched the individual’s details to a job position we are looking to fill for one of our clients.
  • As a result of personal recommendations.
  • From individuals’ business cards (For example given to a member of our staff at a networking event)

What personal data do we collect?

For candidates / contractors:

We collect information required to find suitable job opportunities for candidates, and to assess their eligibility through different stages of the recruitment process.  This information may include CVs, identification documents, details of training, certifications and educational records, work history, references and contact details (phone / email addresses / social media), Limited company details (for contractors)

For client contacts:

We collect information required to offer and provide recruitment services to our client contacts, and to match potential candidates to positions they may be hiring for either personally or within their business.  This information may include:  Name, Job Title, company you work for, business email address, fixed line and mobile telephone numbers, recruitment model, market sector, team size and reasons for hiring.

For website users:

To provide a better service we may use cookies and contact forms to collect personal data when individuals browse, this information may include IP address, browser, timestamp, traffic data, location data, contact details, and communication data

How and why do we use personal data?

  • To provide our candidates, contractors and client contacts with the services expected from an agency.
  • To respond to individuals’ requests or questions when they contact us.
  • To investigate and respond to incidents and complaints
  • In order to tailor content, resources and services according to individuals’ preferences, and to create, publish and develop content.
  • With individuals’ consent we may also use contact data for direct marketing to inform them about live job requirements (for contractors / candidates) or suitable live candidates (for client contacts); services, products, newsletters, events and other things that might be of interest to you (we will communicate by email, social media, telephone, mail)
  • To enhance our website user experience for example to: ensure content is best presented for each user and their specific device / browser, to allow users that choose to access interactive features, to further develop and improve our website.
  • To comply with legal obligations and rights and cooperate with investigations carried out by the police, government or regulators.

How long do we keep personal data for?

We will keep information for as long as individuals wish to receive our communications and thereafter for as long as required to meet our business, legal or regulatory responsibilities – Typically 5 Years.

Who do we share personal data with and how?

  • Access to individual’s personal data is restricted to staff who are required to process such data as part of their job;
  • Only necessary information is released to the relevant employees;
  • We seek individual’s consent before sharing their details with any prospective employer or user of their services.
  • Client contacts acting as candidate referees: Unless specified otherwise, we may share referees’ information with our client(s) to support the application of the referenced candidate to prospective hiring managers.
  • We will disclose information under the following circumstances:
  • Service and Site usage information: When we share anonymous information generated by our Services with our clients.
  • Third-party service providers: When we share information with third-party service companies for them to facilitate and support us in the provision of the Services. This includes:
  • IT support service providers;
  • CRM software service providers
  • Providers of credit reference, vetting and screening services;
  • Payment processors and software providers;

These organisations are appointed by CTI as data processors and authorised to use personal information only as necessary to provide the relevant services to us. These organisations are required to process such information based on our instructions and in accordance with this privacy policy. They do not have any independent right to share this information.

Group companies: We provide individuals’ personal information to our subsidiaries or affiliated companies for the purpose of processing personal information on our behalf, to provide the Site and the Services. These parties are required to process such information based on our instructions and in accordance with this privacy policy. They do not have any independent right to share this information.

Clients we are providing recruitment services to: When we are using personal information in the context of our recruitment and resourcing services, then we may, where the candidate has given permission, share individuals’ personal information with clients where we believe they may be appropriate for a particular role or vacancy with that client. In some cases there may be a Recruitment Process Outsourcing or Managed Service company acting as a gateway, we will also candidates are made aware of this.

Umbrella companies and personal service companies:  When a candidate informs us that they are supplying or intending to supply their services via Clear Tech International to a client through an umbrella company or personal service company.

What legal basis do we have for using this data?

The use of individuals’ information as described I this policy is permitted by applicable data protection law because it is:

  • Necessary for our legitimate interests in pursuing the purposes set out in this policy and such interests in each case not being overridden any individual’s privacy interests.
  • In some cases, necessary to meet our legal or regulatory responsibilities which might include disclosures to authorities, regulators or government bodies or in some cases necessary

What rights do individuals have in relation to the data we hold on them?

Individuals have the following rights under applicable data protection laws:

  • Right to be informed – Individuals have the right to be told how we use their data in a clear, easily understandable and transparent way.
  • Right of access – Individuals are entitled to request confirmation whether we process any of their personal information, to obtain access to information that is held and to check that we’re using their data with data protection law.
  • Right of rectification – Individuals are entitled to have your information corrected if it its incorrect or inaccurate.
  • Right to erasure / right to be forgotten – Individuals can request, where there is no compelling reason for us to keep using it, for us to delete their information.
  • Right to restrict processing – Individuals have the right to block / suppress further usage of their information. We are still able to keep information and will add the person to a restricted list to ensure the choice is continued to be respected.
  • Right to data portability – Individuals have the right to object to certain types of processing, for example Direct Marketing if they no longer want to be notified about jobs.
  • Right to lodge a complaint – Individuals have the right to lodge a complaint which they can do via their local data protection authority.
  • Right to withdraw consent – Individuals who have given their consent to anything we do with their personal data have the right to withdraw that consent at any time, although anything that has been done prior to this with the consent is still lawful.
